2025-370 - Middle Office Oversight Officer F/M

Business unit : Operations, Data & IT/Operations, Client Servicing & Reporting
Contract type : Permanent
Position description :
The Middle Office Oversight Officer will support the Head of Middle Office in managing the hybrid operating model, where most of middle office functions are outsourced while others remain in-house.
A key feature of this model is that the outsourced provider operates directly on the same core systems and tools as the asset management firm.
The Oversight Officer is responsible for day-to-day monitoring and controls within these shared platforms, ensuring outsourced activities are performed accurately, on time, and in compliance with regulatory and client requirements.
The role also serves as the first point of operational coordination between internal stakeholders and the outsourced provider, while providing support for the in-house front to back activities and acting as a backup resource for retained functions when required.

1. Oversight & Monitoring in Shared Systems
• Monitor outsourced activities directly within shared systems (Aladdin from Blackrock) ensuring accuracy, completeness, and timeliness of processes.
• Review system outputs escalating exceptions and discrepancies.
• Track and follow up on operational issues logged in the system, ensuring timely resolution by the provider.
• Analyse system release notes and coordinate with the outsourcer to ensure proper change management is followed — including impact assessment and communication of changes to stakeholders.
• Stay up to date with all relevant system documentation, user guides, and online training, applying knowledge to strengthen oversight and ensure effective use of evolving system functionalities.
• Maintain oversight dashboards and controls, providing visibility to the Head of Middle Office.
2. Coordination & Communication
• Act as the first line of contact for operational queries between internal teams and the outsourced provider.
• Facilitate clear and timely communication on system issues, process changes, and escalations.
• Prepare inputs for governance meetings with the provider, including incident logs, SLA performance, and KPI tracking.
• Support the Head of Middle Office in preparing management reports, client due diligence responses, and regulatory information requests.
3. Support of Retained In-House Functions
• Assist with portfolio operational setup in the shared systems, ensuring accurate onboarding of mandates/funds
• Provide operational support for insurance mandates, including restrictions monitoring, data validation, and reporting.
• Act as a backup for retained functions (portfolio setup, operational proxy voting, insurance mandates) to ensure continuity of service during absences or peak activity periods.
4. Risk & Control
• Maintain oversight documentation, including control checklists, monitoring procedures, and exception logs within the systems.
• Identify operational risks or weaknesses in the shared system environment, escalating to the Head of Middle Office.
• Contribute to internal audits
